Job Description:
Do you have a passion for all things executive administrative
support, operational excellence and team leadership? We have the
opportunity for you! As an Executive Assistant I, you will provide
dynamic, proactive administrative support to leaders at the Sr.
Vice President level and above as well as manage the daily
operations of our administrative support teams. You will have
oversight of business or functional-area administration teams to
ensure overall adherence to corporate standards and business
processes throughout the execution of daily support tasks and
contribution to the completion of various projects and goals. You
will act as the point of contact between the executive and both
internal and external customers while providing an exceptional
level of customer service. On behalf of the executive, you'll
direct incoming calls, correspondence, and voice messages,
accurately maintain calendar details and manage scheduling. You'll
also coordinate meetings and appointments for the executive,
provide timely reminders, and ensure stakeholder awareness in
support of executive activities. You'll compile executive
communications and presentations, and liaise with key stakeholders
in various departments to ensure all executive needs are met. Your
duties will also include coordinating domestic and international
travel to include visa and passport requirements, and supporting
large events, tradeshows and galas. The Mission Solutions and
Technologies (MST) business area provides affordable, turn-key
command/control, communications, integrated ISR, force protection
and security solutions worldwide. The MST team has a long legacy of
supporting the Department of Defense, Department of Homeland
Security, commercial and international customers with years of
experience in platform operations, engineering and full lifecycle
management across domains – air, land, sea, space and cyber.
Responsibilities: Maintain and manage complex calendars, meeting
and travel schedules for C-Suite and/or Executive Vice Presidents
and/or Senior Vice Presidents. Direct incoming calls,
correspondence, and voice messages. Review and edit internal
department communications, reports, and presentations on behalf of
executives. Act as a liaison between executives and staff
stakeholders. Coordinate and organize meetings, including setting
up conference rooms and preparing necessary materials. Arrange
domestic and international travel, including visa and passport
requirements. Assist in the planning and execution of internal
department events and teambuilding with efficiency. Coordinate
efforts between various departments to align with executive
priorities. Support onboarding and training for senior team
members. Handle confidential and sensitive information with a high
level of discretion. Serve as a gatekeeper, managing the flow of
information to and from executives. Assist in the planning and
execution of executive-level projects, including tracking project
milestones, managing timelines, and ensuring timely deliverables.
Identify improvements in executive office processes. Manage office
operations related to executive teams, including vendor management
and purchase requests. Support budget tracking and financial
documentation for the executive office. Qualifications You Must
Have: High school diploma or equivalent. 1 years of relevant
experience in an Executive Assistant support role. 3 years of
relevant experience in an Administrative Assistant support role.
Advanced in Microsoft Office Suite (Word, Excel, Outlook, Teams,
OneNote and SharePoint Online), Travel and Expense Platforms (such
as Concur), and Project Management Applications (such as
Smartsheet). Foundational knowledge with Ticketing Systems (e.g.
Service Now), Enterprise Performance Measurement (EPM) Software
(e.g. Workday Adaptive Planning), Enterprise Resource Planning
(ERP) Systems (e.g. Cost Point), Customer Relationship Management
(CRM) Software (e.g. Microsoft Dynamics). Proven interpersonal
communication skills with personnel at all levels internal and
external to the organization, including foreign and military
officials. Ability to interpret the intent of available guidelines
and use considerable judgment in applying them to individual
situations. Ability to solve a variety of problems of moderate
scope and complexity, and contribute to the completion of projects
and goals. Ability to efficiently manage schedules, prioritize
tasks, and organize activities to ensure the executive's time is
used effectively. Strong verbal and written communication for
interacting with high-level executives, customers, and team
members, as well as preparing reports, and other correspondence.
Proficiency in anticipating issues, developing solutions, and
handling unexpected challenges with resourcefulness and efficiency.
The ability to quickly learn new software and systems relevant to
the executive's needs. Capability to handle sensitive information
with the utmost confidentiality and discretion, ensuring that
private company matters are safeguarded. Comfortable working under
pressure and handling high-stakes situations with poise. Advanced
knowledge of administrative practices including preparing expense
reports and purchase requisitions and coordinating meetings, events
and travel. Qualifications We Prefer: Associate’s degree in
Business Administration or a related field. Experience in the
Aerospace and Defense industry. Certifications such as Microsoft
Office Specialist (MOS), Certified Admin Professional (CAP). This
